Mail (SMTP)

The Settings → Mail tab. It makes the e-mails the system sends go out from your own address.

Why it is needed

Notifications such as the critical stock warning are sent by e-mail. Without your own SMTP details these cannot be sent.

What you need

From your e-mail provider (a corporate mailbox, Google Workspace, Microsoft 365 or your hosting company):

Field Example
Server smtp.yourcompany.com
Port 587 (STARTTLS) or 465 (SSL)
Username noreply@yourcompany.com
Password the password from your provider
Sender name your business name

Enter them and save. You confirm the settings work when the first notification the system sends (a critical stock warning, say) lands in your inbox.

Use a separate sending address

Use a dedicated mailbox such as noreply@ instead of your personal address. When the password has to change, nobody's daily correspondence is affected.

Security

Your SMTP password is stored encrypted and is never shown again in the panel. To change it, type the new one and save; saving with an empty field keeps the existing password, it does not delete it.

Common questions

The notification e-mail does not arrive. Check in order: is the port right (587/465 confusion is the commonest mistake), is the username the full e-mail address, does the provider require an “app password” (Google and Microsoft usually do; the normal account password will not work).

Mail is sent but lands in spam. Set your domain's SPF and DKIM records as your provider specifies. That is a setting on your e-mail provider's side.
